New Lawrence School Directory Process

The PTO has completely revamped our data collection/management system in a way that will let you to enter, edit, limit or remove your own contact information as needed throughout the year. This system will also help us deliver our Directories much earlier than in previous years, and each Lawrence parent/guardian who opts in will get free, password-protected access to a secure, searchable, ONLINE Directory.

We will be using software provided by A to Z Directories, a Maryland-based company that designed this system specifically for schools. We will manage the system ourselves, but A to Z does the initial set-up. To that end, we will be sending last year’s Directory Database to A to Z on Friday, September 21, 2012. If you were not in last year’s directory but we have an email address for you (i.e. if you are reading this email), that email address will also go to A to Z, so that they can generate a username and password that you will use to log in and edit your information OR remove yourself from the directory.

A to Z will not copy, share or even look at our data for any reason other than to set up our system. And, even if your information does go to A to Z in the initial “data drop,” you will still have a chance to opt out of the School Directory if you decide that you do not want to be included. IF FOR WHATEVER REASON YOU DO NOT WANT YOUR CONTACT INFORMATION AND/OR EMAIL ADDRESS SENT TO A to Z DIRECTORIES AS PART OF OUR ONE-TIME DATA DROP, YOU MUST LET US KNOW BEFORE SEPTEMBER 21. Just send an email to kprelack@gmail.com and ask to be removed from the Directory Database. But please note the following:

1. If you are removed from the database, your family will not be included in the 2012-13 PTO Directory.
2. If you are not in the Directory you will not get a username and password, which means that you won’t have access to the searchable Online Directory.
3. We will remove you from the Directory Database but you will remain on the PTO’s email distribution list unless you specifically ask to be removed from it.

Please note that the PTO will pay A to Z based on the number of parents in our initial data set, so if you know now that you do not want to be included in the Directory, please let us know. Also, if you receive emails from the PTO at more than one address, this is a good time to consider which one you want to appear in the Directory. We can continue to send you email at multiple addresses, but our directory database should have only one email per parent.
